Executive Secretary

Job Description

Key Responsibilities:

Prepare and manage import and export documentation (invoices, packing lists, B/L, CO, etc.). Coordinate with freight forwarders, customs brokers, and internal departments to ensure smooth shipping operations. Track shipments and maintain accurate records of international transactions. Manage and organize confidential files, records, and reports. Handle travel arrangements and prepare itineraries. Draft, edit, and proofread internal and external communications. Assist in the preparation of reports, presentations, and meeting materials. Maintain office supplies inventory and handle day-to-day administrative tasks.
Qualifications:

Proven experience as an executive secretary or administrative assistant. Strong understanding of import/export procedures and documentation. Excellent organizational and time-management skills. Proficient in MS Office (Word, Excel, Outlook, PowerPoint). Strong written and verbal communication skills. Ability to work independently and handle confidential information with discretion. Knowledge of logistics or customs clearance is a plus.
