Managing Communications

: Secretaries serve as the primary point of contact for internal and external communications. They handle phone calls, emails, and correspondence, ensuring timely responses and appropriate routing of information.

Scheduling and Coordination

: They manage calendars for executives and teams, scheduling meetings, coordinating appointments, and ensuring that all necessary arrangements are made, including booking conference rooms and preparing agendas.

Record Keeping

: Secretaries maintain both physical and digital filing systems, ensuring that documents are organized and easily retrievable. This includes managing databases and ensuring compliance with record retention policies.

Document Preparation

: They are responsible for drafting and formatting documents, reports, and presentations. This may involve proofreading and compiling data for various communications.

Office Management

: Secretaries track office supplies, manage inventory, and order supplies as needed to keep the office running smoothly. They may also assist with vendor relationships.

Customer Service

: Acting as the first point of contact, secretaries greet visitors and clients, addressing inquiries and directing them to the appropriate personnel.
