We are seeking a highly organized and professional
Executive Secretary
to provide comprehensive administrative support to senior management. Responsibilities include managing calendars, coordinating meetings and travel, preparing reports, handling confidential correspondence, and liaising with internal and external stakeholders. The ideal candidate will have excellent communication skills, strong attention to detail, and proficiency in MS Office.
Key Responsibilities:
Manage calendars, appointments, and meetings.
Draft, proofread, and manage correspondence, reports, and presentations.
Screen and prioritize emails, phone calls, and requests.
Serve as the point of contact between executives and internal/external stakeholders.
Prepare meeting agendas, minutes, and follow-ups.
Monitor office supplies, budgets, and expenses related to the executive office.
Support executives in decision-making with well-prepared documentation.
Provide high-level administrative and secretarial support to executives or senior management.
Qualifications:
Bachelor's degree in Business Administration, Management, Secretarial Studies, or related field (preferred).
Diploma or certificate in office administration or secretarial work (sometimes accepted).
Strong organizational and time management skills.
Excellent written and verbal communication.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office equipment.
Discretion and ability to handle confidential information.
Professional presentation and interpersonal skills.
3-5 years in administrative, executive assistant, or secretarial roles.
Prior experience supporting senior management or executives is usually preferred.
Excellent multitasking, prioritization, and time management.
Accuracy in documentation and reporting.
Ability to anticipate needs and handle issues proactively.
Comfortable working under pressure and managing urgent tasks.
