Job Summary:



We are seeking a highly organized and proactive

Administrative, Procurement & Personal Assistant

to support our daily business operations. This role involves

administrative tasks, procurement management, client coordination, HR support, bookkeeping, and serving as a Personal Assistant to the Executive Director

. The ideal candidate should be detail-oriented, have strong multitasking abilities, and be capable of handling confidential tasks efficiently.

Key Responsibilities:



1. Administrative & Office Management:



Organize and maintain records, schedules, and office documentation. Manage calendars, appointments, and meetings for the

Executive Director

. Handle correspondence, emails, and communications with internal and external stakeholders.

2. Procurement & Vendor Coordination:



Serve as a point of contact for vendors and suppliers, ensuring smooth coordination. Negotiate terms and contracts with vendors for cost-effective procurement. Monitor and manage inventory, ensuring timely purchase and delivery of materials.

3. Sales & Client Coordination:



Maintain relationships with clients and follow up on inquiries. Support business development efforts by assisting with proposals and client communications.

4. HR & Recruitment Support:



Assist in the hiring process, including job postings, interviews, and onboarding. Prepare and manage employee contracts and maintain HR records.

5. Finance & Bookkeeping:



Assist with financial records, expense tracking, and invoice processing. Ensure proper documentation and reporting of transactions.

6. Personal Assistance to the Executive Director:



Handle confidential business and personal matters. Manage travel arrangements, meetings, and other executive tasks. Ensure smooth day-to-day operations and decision-making support.

Qualifications & Requirements:



Bachelor's degree in

Business Administration, Accounting, HR, or a related field

. Previous experience in

administration, procurement, or finance

is preferred. Strong

organizational and multitasking skills

. Excellent

communication and interpersonal skills

. Proficiency in

Microsoft Office (Excel, Word, Outlook)

. Ability to

work independently and handle multiple responsibilities efficiently

.
Job Type: Full-time

Pay: AED4,000.00 - AED5,000.00 per month
