Job Description

We are seeking a highly organized and professional

Executive Secretary

to provide comprehensive administrative support to senior management. Responsibilities include managing calendars, coordinating meetings and travel, preparing reports, handling confidential correspondence, and liaising with internal and external stakeholders. The ideal candidate will have excellent communication skills, strong attention to detail, and proficiency in MS Office. Prior experience in an executive support role is preferred.

Key Responsibilities:



Manage executive calendars, schedule meetings, and coordinate appointments. Handle incoming and outgoing correspondence (emails, letters, memos, reports). Prepare presentations, reports, and meeting materials. Organize travel arrangements, visas, accommodation, and itineraries. Maintain confidential records, files, and documents. Screen calls and visitors, prioritizing matters requiring executive attention. Draft, proofread, and edit official documents. Coordinate communication between executives and internal/external stakeholders. Assist in preparing agendas and minutes for board/committee meetings. Monitor deadlines and follow up on pending matters. Perform general administrative tasks as required.

Qualifications:



Bachelor's degree in Business Administration, Secretarial Studies, or related field (preferred). Proven experience (3-5 years) as an Executive Secretary, Personal Assistant, or similar role. Experience in supporting C-level executives is an advantage.

Skills & Competencies:



Excellent written and verbal communication skills. Strong organizational and time-management abilities. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). Ability to handle confidential information with discretion. High level of professionalism and interpersonal skills. Attention to detail and accuracy in documentation. Ability to work under pressure and manage multiple tasks. Strong problem-solving and decision-making skills. Flexibility to work beyond standard hours when required. Knowledge of office management systems and procedures.
