We are seeking a skilled and experienced secretary to join our team. Organizes work by reading and routing correspondence; collecting information; and initiating telecommunications. Manages department schedule by maintaining calendars for department personnel and arranging meetings, conferences, teleconferences, and travel. REQUIREMENTS: Bachelor\'s degree in business administration, or a related field. Minimum of 3 to 5 years of experience being as a secretary. Excellent analytical, problem-solving, and decision-making skills. Effective communication and interpersonal abilities, with the ability to interact with individuals at all levels of the organization. Certification in secretarial practice will be added advantage. Who can join immediately or join within 1 weeks\xe2\x80\x99 time. Key responsibilities Calendar Management: Maintaining the MD\'s schedule, scheduling meetings, appointments, and travel arrangements. This may involve coordinating with other executives, clients, and stakeholders. Communication Management: Handling the MD\'s correspondence, including emails, letters, and phone calls. This could involve screening calls, responding to routine inquiries, and drafting responses on behalf of the MD. Meeting Coordination: Organizing and preparing materials for meetings attended by the MD, including agendas, presentations, and meeting minutes. Document Preparation: Drafting and editing documents, reports, and presentations for the MD. This might include preparing financial reports, business proposals, or briefing documents for meetings. Information Management: Managing and organizing information, files, and documents for the MD. This could involve maintaining electronic and physical filing systems, as well as ensuring confidentiality and security of sensitive information. Travel Arrangements: Making travel arrangements for the MD, including booking flights, hotels, transportation, and preparing travel itineraries. Relationship Management: Building and maintaining relationships with internal and external stakeholders on behalf of the MD. This could involve liaising with board members, clients, investors, and other key contacts. Administrative Support: Providing general administrative support to the MD, such as expense tracking, invoice processing, and other ad hoc tasks as required.
