They are looking to hire an Executive Secretary who will be the one to organize and maintain the executive\'s schedule and assist them by performing a variety of administrative tasks.
Responsibilities:
Scheduling meetings Arranging meetings, calls zoom calls with senior Company executives, external people, dignitaries like Ministers, Senior Govt officials, managing the diary of the Executive, making sure that all meetings take place as scheduled, changes in the schedule are managed efficiently will be another important task.
Maintaining all files, documents, and important files of official and personal nature will be another important responsibility.
Ensuring all IT infrastructure required for meetings/calls etc is kept up to date and running without glitches. For this, the selected person should be well versed with all day-to-day technology such as Zoom calls, the internet, the Search function on the Internet and websites, phones, etc will be a pre-requisite.
Managing entire office in Dubai ensuring cleanliness, and upkeep, getting work done from Housekeeping staff, IT Staff, ensuring a very efficient, warm, and pleasant outlook and impression of the Office, managing important visitors, ensuring all services like Pantry, maintenance is running efficiently through concerned Departments will be also the responsibility of this role holder.
Qualifications:
Over 10 years of experience in a relevant role
The last 1 to 2 roles must be in a similar capacity in reputed Companies
Should have worked with Promoters/Owners/very senior/Top executives for more than 5 years.
Proven track record of efficiency, maturity, and ability to handle confidential work, files, documents, etc at the senior level.
Competencies/Skills Profile:
Smart, pleasant, warm personality and demeanor.
Excellent communication in English spoken and written is essential.
Excellent skills in scheduling, managing time, administrative skills, and getting work done from staff without being rude is critical.
Excellent IT Skills in Computers, Phones, office equipment such as Projectors, Screens, etc
