Executive Secretary

Job Description

The Executive Secretary provides comprehensive administrative and organizational support to the CEO and Executive Team. This role ensures smooth day-to-day operations, efficient scheduling, coordination of high-level meetings, and confidential management of sensitive information. The Executive Secretary acts as the primary point of contact between the executive office and internal/external stakeholders.

Key Responsibilities:



Manage and maintain the CEO's calendar, appointments, and travel arrangements. Prepare correspondence, reports, presentations, and other documents with accuracy and confidentiality. Handle incoming and outgoing communications, ensuring timely follow-up and prioritization. Coordinate internal and external meetings, including agenda preparation, minutes taking, and action tracking. Support the execution of executive-level projects and initiatives. Maintain filing systems and ensure document control for all executive records. Liaise professionally with senior management, department heads, clients, and external partners. Ensure confidentiality and discretion in handling sensitive company information. Assist in event planning and coordination for executive or corporate events. Perform other duties as assigned by the CEO or Executive Management.

Qualifications & Experience:



Bachelor's degree in Business Administration or a related field. Minimum of 3-5 years of experience in a similar executive or administrative support role. Excellent communication skills in English (Arabic is an advantage). Strong organizational skills with attention to detail and the ability to prioritize effectively. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience in handling confidential information and managing executive-level communication. Professional demeanor, discretion, and proactive problem-solving skills.
