WE ARE SEEKING A RELIABLE AND ORGANIZED EXECUTIVE SECRETARY TO JOIN OUR CONSTRUCTION COMPAN. THIS ROLE IS KEY TO ENSURE SMOOTH OPERATION OF OUR OFFICE WORK BY PROVIDING ADMINISTRATIVE AND CLERICAL SUPPORT. IDEAL CANDIDATE WILL HAVE STRONG COMMUNICATION SKILLS, ATTENTION TO DETAILS, AND ABILITY TO MULTITASK IN A FAST-PACED ENVIRONMENT. EXPERIENCED IN CONSTRUCTION FIELD
Key Responsibilities:
Answer and direct incoming phone calls and emails in a professional manner
Greet visitors and handle deliveries or incoming mail
Schedule meetings, manage calendars, and assist with coordinating job site visits
Prepare and edit correspondence, reports, and other documents
Maintain organized filing systems for contracts, invoices, and other company records
Assist in processing purchase orders, timesheets, and expense reports
Support project managers and field staff with administrative needs
Order office supplies and maintain inventory
Perform data entry and basic bookkeeping as required
Help ensure compliance with company policies and safety regulations
Qualifications:
Bachelor degree or equivalent (Associate's degree or administrative training is a plus)
Previous administrative or secretarial experience, preferably in construction or a related industry
Proficient with Microsoft Office Suite (Word, Excel, Outlook)
Strong organizational and time management skills
Excellent verbal and written communication abilities
Ability to work independently and as part of a team
Preferred Skills:
Familiarity with construction terminology and documentation
Experience using construction management or accounting software (e.g., QuickBooks, Procore, Buildertrend)
