A prestigious international law firm is seeking a highly professional and proactive Executive Assistant to support senior lawyers and legal staff in its Abu Dhabi office. This is a confidential opportunity to join a high-performing team within a globally respected legal environment.
Key Responsibilities:
Provide high-level administrative support to partners, counsels, associates, and legal professionals.
Manage calendars, coordinate meetings, screen and route phone calls, and handle incoming mail and emails.
Draft and process legal and administrative documents, including engagement letters, expense reports, and client correspondence.
Support new client and matter onboarding processes, including preparing memos and updating internal records.
Oversee document preparation, editing, formatting, redlining, and quality control.
Coordinate closely with Client Accounting to ensure timely and accurate billing.
Maintain accurate tracking logs, particularly for billing and new business matters.
Liaise with clients and internal teams to ensure exceptional service delivery.
Use CRM tools (e.g., InterAction) to maintain contacts and mailing lists and support business development initiatives.
Coordinate complex international travel arrangements, including assistance with visa applications.
Submit vendor invoices and check requests; follow up to ensure timely payments.
Delegate tasks to internal departments as needed and ensure timely, accurate completion.
Assist with occasional personal matters as required by attorneys.
Work with internal IT support to ensure smooth operation of software and hardware.
Support general office tasks such as printing, scanning, and file organization.
Requirements:
Minimum of 3 years of experience in a professional office setting; legal or corporate experience preferred.
Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint); ability to learn new systems quickly.
Strong attention to detail with excellent organizational and multitasking abilities.
Confident, proactive, and able to anticipate the needs of a fast-paced team.
Excellent interpersonal, written, and verbal communication skills.
High degree of professionalism, discretion, and reliability.
Ability to handle sensitive and confidential information.
Flexibility to support the business outside regular working hours when required.
