Job Summary: We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our VP/Director. The ideal candidate will be responsible for managing daily schedules, coordinating meetings and travel, preparing reports, and acting as a key point of contact for internal and external stakeholders. This role requires discretion, adaptability, and strong communication skills. Key Responsibilities:
Administrative Support:
Manage, schedule, block calendars, schedule meetings, and coordinate appointments
Prepare and edit correspondence, presentations, and other documents
Handle confidential information with discretion
Meeting & Event Coordination:
Organize internal and external meetings, including preparing agendas and taking minutes
Coordinate logistics for team offsites, board meetings, or corporate events
Travel Management:
Plan and book travel (domestic and international), including accommodations and itineraries
Process travel and expense reports in a timely manner
Communication Liaison:
Serve as the gatekeeper and first point of contact for the VP/Director
Liaise professionally with executives, clients, and stakeholders on behalf of the VP
Project & Task Management:
Support in tracking project deadlines, deliverables, and action items
Conduct research and prepare briefings or reports as needed
Office & Team Support:
Collaborate with other EAs and administrative staff
Support departmental initiatives and assist with onboarding new hires
Qualifications:
Bachelors degree preferred
35+ years of experience in an EA or administrative support role, preferably supporting senior leadership
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Zoom, Slack)
Excellent organisational and time-management skills
Strong written and verbal communication skills
Ability to work independently, multitask, and prioritise in a fast-paced environment
High level of integrity and confidentiality
