We are seeking a highly skilled, proactive, and trustworthy
Executive Assistant & Office Manager
to provide comprehensive support to the CEO. This role requires exceptional organizational, communication, and leadership skills. The ideal candidate will act as a strategic partner to the CEO, manage the daily operations of the CEO's office, and take on a leadership role in managing company functions or decisions when delegated.
This position goes beyond traditional secretarial duties and requires the ability to act as a decision-maker, communicator, and problem-solver, especially when representing the CEO or stepping in as acting General Manager.
Key Responsibilities:Executive Support:
Manage the CEO's calendar, travel, meetings, and daily agenda.
Draft reports, official communications, presentations, and minutes of meetings.
Maintain smooth and professional communication on behalf of the CEO.
Coordinate and follow up on tasks, deadlines, and strategic initiatives.
Office & Operations Management:
Oversee the organization and administration of the CEO's office.
Maintain efficient systems for communication and document handling.
Ensure confidentiality and manage sensitive business information.
Leadership & Acting GM Role:
Represent the CEO in high-level meetings and communications when required.
Make executive-level decisions as delegated, ensuring alignment with company goals.
Follow up with department heads and ensure execution of CEO instructions.
Monitor and report on departmental performance and challenges.
Lead and support strategic projects on behalf of the CEO.
Follow-up & Accountability:
Track progress of assigned tasks and ensure timely completion.
Coordinate interdepartmental collaboration and remove roadblocks.
Ensure company decisions and priorities are implemented efficiently.
Required Qualifications & Skills:
Bachelor's degree in Business Administration, Management, or a related field. (Master's degree is a plus.)
Minimum of
5 years of experience
in executive-level support or management roles.
Fluent in English - Arabic speaker is a must.
Demonstrated leadership and independent decision-making ability.
Excellent interpersonal, verbal, and written communication skills.
High level of discretion, professionalism, and emotional intelligence.
Strong follow-up and project coordination capabilities.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and collaboration tools.
