In this role you would provide daily support to Gulf Cluster, ensuring that he is always well prepared and can operate in a smooth and efficient manner.
Your success in the role will rely on quickly developing an in-depth knowledge of our organisation, its key stakeholders and strategies. You will develop close relationships with senior leaders, customers and other EAs.
Key Responsibilities
  • Manage the agenda and organize the meetings according to priorities and availability
  • Plan and organize business international trips
  • Book transportation and accommodation
  • Manage VISA and/or passport renewal procedures
  • Organize meetings with external partners and customers
  • Manage expense reports
  • Establish a close collaboration with the Communication teams to manage the planning and optimization of internal and external communication opportunities
  • Manage incoming emails: filter and prioritize requests, answer to those within your scope of expertise and ensure responses that require you to seek information
  • Manage signature delegations in connection with the legal teams
  • Approve leave and expense claims by delegation for the Management Committee members
  • Organize the meetings of the Management Committee: preparation of the agenda, management of the logistics, be a force of proposal on actions of improvement relating to the organization of the meetings (working meetings, seminars and team building)
  • Be involved in the organization of events within the business (Open-lines, Town Hall) with the communication teams
  • Manage external service providers during the organization of events
  • Establish a close collaboration with the assistants of the Members of the Executive Committee to align agendas and coordinate the organization of meetings and events
  • Check and optimize the annual cycle of meetings
  • Occasional travel for important events
Required experience and capabilities
  • In depth experience of providing executive support to C-Suite leaders in a multinational environment
  • Degree qualified, ideally in business, administration or equivalent
  • Able to take minutes of meeting and prepare and maintain a to- do list for key stakeholders with strong follow up
  • Experience of expense management
  • Highly organized \xe2\x80\x93 Able to keep record of all critical contracts, documents, reports and presentations.
  • Proficiency in Microsoft Office \xe2\x80\x93 Power point, excel etc
  • Ability, agility and experience of working across multiple time zones
  • \xe2\x80\x9cCustomer First\xe2\x80\x99 attitude with strong communication skills. Able to draft both internal communication (memos, emails etc.) and external communication (letters to customers) effectively
  • Analytic mindset and can anticipate and plan accordingly
  • You are recognized for your rigor, your responsiveness, and demonstrate reliability and respect for deadlines
  • An interest in economic news and topics related to innovation, digitalization, and sustainable development
  • Strong integrity and comfortable to adhere to strict confidentiality
  • Fluent in English. French and/or Arabic language is also desirable but not required
