Position Overview
The Executive Assistant supports the Artistic Director and the operational flow of Italian Events Lab. This role ensures organization, coordination, and smooth communication between venues, artists, and partners, focusing on residency management, event support, follow-ups, and document organization.
Core Responsibilities
1. Event & Residency Calendar Management
Maintain and update the master event calendar.
Manage residency schedules across all venues.
Identify and flag overlaps, changes, and urgent updates.
2. Follow-Up with Clients, Venues & Partners
Maintain active communication flows.
Follow up on confirmations, schedules, and technical information.
Track pending responses and keep the Artistic Director informed.
3. Document Archiving & File Organisation
Archive contracts, riders, photos, videos, and production documents.
Maintain a clean, structured digital filing system.
Track and flag expiration dates of official documents (Ejari, licences, etc.).
4. Operational Support During Events
Support communication and coordination during special events.
Assist with logistical needs between artists and venue teams.
Collect and organise media materials after each event.
5. Residency Support & Artist Coordination
Communicate residency updates and schedule changes to artists.
Ensure all residency-related information is clear and accessible.
Coordinate with the Artistic Director on weekly rotations and requirements.
Work Environment Italian Events Lab operates in a fast-paced, artistic, and international environment. The Executive Assistant must be organized, flexible, and able to support multiple tasks with precision.

Pay: From AED3,500.00 per month
