As the Executive Assistant to the CEO, he/she will play a crucial role in ensuring the efficient operation of the CEO's office. This position demands a high level of confidentiality, excellent communication skills, and the ability to manage multiple tasks seamlessly. He/she will be the primary point of contact for the CEO's schedule and will be responsible for facilitating communications, managing appointments, and representing the CEO in various capacities.
Key Responsibilities :
Meeting Coordination:
Schedule, coordinate, and follow up on meetings as discussed with the CEO. Ensure all necessary materials and information are prepared in advance.
Calendar Management:
Manage the CEO's calendar, ensuring optimal scheduling and effective time management. Check availability and plan appointments, meetings, and conferences.
Communication:
Act as the first point of contact for internal and external stakeholders on behalf of the CEO. Handle inquiries, provide information, and address concerns in a professional manner.
Travel Arrangements:
Arrange travel itineraries, accommodations, and logistics for business trips of the CEO and other board members, ensuring all details are organized and coordinated / communicated effectively.
Correspondence:
Draft, review, and manage correspondence, emails, reports, and presentations. Ensure timely and accurate communication on behalf of the CEO.
Client Representation:
Represent the CEO in meetings and interactions with clients, ensuring a positive and professional image is maintained.
Administrative Support:
Provide comprehensive administrative support, including document management, filing, and maintaining office supplies.
Confidentiality:
Handle sensitive information with discretion and maintain the highest standards of confidentiality.
Task Management:
Prioritize and manage multiple projects simultaneously, which entails supporting other departments and having a follow through on issues promptly.
Special Projects:
Assist with special projects and initiatives as directed by the CEO, ensuring alignment with company goals.
Pre-requisites :
Experience
: Minimum of 5 years of experience as a Personal or Executive Assistant. Of this, should have 2 years of experience in a similar role in UAE.
Education
: Bachelor's degree or equivalent in Business Administration or a related field is preferred.
Communication:
Exceptional verbal and written communication skills.
Organizational:
Strong organizational and multitasking abilities.
Interpersonal:
Professional demeanour with strong interpersonal skills.
Technology:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
Personal Attributes:
Intelligent, detail-oriented, proactive, and able to work independently.
