We are seeking an Executive Assistant for an Events company who will provide high-level administration support to the General Manager while also taking ownership of planning logistics for visiting delegates, this is a chance to join a team that values collaboration, diversity and fresh thinking
Job Functions, Responsibilities & Authorities
Coordinate and/or report all office-related issues to GM.
Delegate task / give instructions to employees on behalf of the GM
Maintain corporate and private confidentiality
Plan and arrange the logistics including travel, accommodation and any reservations for visiting delegates.
Draft general correspondence and manage corrections/revisions accordingly.
Handle and screen incoming calls for the GM when required.
Assist with electronic mail responses when required as per directions of the GM
Attend and respond to employees queries
Handle expenses on behalf of GM
Manage the GM\'s diary schedule
Update of database in order to maintain knowledge of all corporate contacts.
Travel Plan Arrangement for GM including air ticket, hotel reservations and arrangement of meeting schedules abroad.
Attend internal meetings; record Minutes of the Meeting, transcribe and submit for review.
Issue official correspondence on behalf of the GM when necessary.
Assist with special events planning and related logistics activities as needed.
Skills/Experience:
Bachelor\'s degree graduate (would always be considered as added value)
Absolute discretion and confidentiality
+5 years\' experience working with senior management level
Proficient in using MS office applications.
Discretion and confidentiality when handling sensitive information.
Proven ability to juggle multiple tasks, strong memory, quick mind and work style and ability to focus and conduct business with minimal errors/misses.
Solid organisational and time management skills.
Enthusiastic, self-motivated, effective under pressure, and flexible.
Able to work with minimal supervision, works well individually and in teams, shares information, and supports colleagues.
Fluent English spoken and written
Ability to work in a non corporate / small team set up
