Senior Executive Assistant will provide high-level administrative support to the Managing Director, ensuring efficient operation of the executive office. Role requires exceptional organizational, communication, and time-management skills, with the ability to handle confidential information with discretion. Acts as a key liaison between the Managing Director, internal teams, clients, and external stakeholders.
Key Responsibilities
1. Manage the Managing Director's calendar, scheduling meetings, appointments, and travel arrangements efficiently.
2. Screen calls, emails, and correspondence, prioritizing urgent matters and drafting responses when appropriate.
3. Prepare and review reports, presentations, and other documents to ensure accuracy and consistency.
4. Organize and coordinate meetings, including agendas, minutes, follow-ups, and action items.
5. Maintain a filing system and ensure documents, contracts, and confidential information are stored securely.
6. Serve as the primary point of contact for internal and external stakeholders on behalf of the Managing Director.
7. Draft and edit emails, letters, reports, and presentations with a professional tone.
8. Coordinate and communicate effectively with board members, senior management, clients, and partners.
9. Represent the Managing Director in meetings and correspondence as required.
10. Assist in strategic projects, tracking progress, deadlines, and deliverables.
11. Conduct research, compile data, and prepare briefing notes to support decision-making.
12. Support HR, operations, and other departments as needed for executive initiatives.
13. Facilitate internal communication between the Managing Director and other departments.
14. Coordinate team events, executive retreats, and important corporate meetings.
15. Ensure smooth office operations, including administrative workflows, travel logistics, and vendor coordination.
16. Handle sensitive information with absolute discretion and maintain the highest ethical standards.
17. Exercise sound judgment and anticipate the needs of the Managing Director and the organization.
18. Performs other duties assigned.
Qualification, Experience & Knowledge
Bachelor's degree in business administration, or a related field.
Minimum 5 years proven experience as an Executive Assistant or Senior Executive Assistant supporting senior leadership.
Proven track record of managing complex schedules and high-volume administrative tasks.
Excellent written and verbal communication skills.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
Strong interpersonal skills and the ability to manage relationships at all organizational levels.
