Job Description

Provide high-level administrative support to the Chief Capital Markets Officer (CCMO), delivering efficient operations, communication, and successful implementation of strategic initiatives in the dynamic environment of Abu Dhabi ExchangeaEUR(TM)s (ADX) capital markets, in line with corporate brand guidelines, policies, and quality standards. Key Accountabilities: Provide input and implement policies, systems, and procedures for the assigned team so that all relevant procedural requirements are fulfilled. Demonstrate compliance with the organizationaEUR(TM)s values and ethics at all times to support the establishment of a value-driven culture within the organization. Executive Assistance to the Chief Capital Markets Officer (CCMO) Schedule and organize the CCMOaEUR(TM)s calendar, providing advance awareness of the schedule, and maintaining punctuality for meetings and appointments, scheduling adjustments as needed. Perform efficient management of the CCMOaEUR(TM)s call and email correspondence, promptly responding to inquiries, prioritizing urgent matters, and taking necessary actions to streamline communication flow. Coordinate travel arrangements for the CCMO, resulting in organized trips for enhanced operational efficiency. Plan and organize on-site and off-site meetings, conferences, and calls for the CCMO, assisting with the preparation and advance distribution of all essential materials. Document meeting minutes and distribute summaries to relevant stakeholders for comprehensive and transparent communication. Manage calls and correspondence, proactively taking the initiative in drafting and finalizing replies where necessary to facilitate prompt and appropriate resolution of all matters. Coordinate high-level meetings, conferences, and industry events for the CCMO, contributing to the overall success and visibility of the Group in the capital markets landscape. Prepare materials and reports for meetings related to Capital Markets (e.g., internationalization efforts), equipping the CCMO with relevant information for effective engagements. Organize and manage incoming requests and communications promptly, delivering a timely response to inquiries and requests in alignment with CCMO directives, thereby fostering positive relationships with both internal and external stakeholders. Uphold the highest level of discretion and confidentiality regarding ADX Capital Markets data and client information, fostering trust and integrity across operations. Administration Support Establish and manage an efficient filing system for essential documents and data within the Capitals Market department, facilitating the efficient organization and maintenance of critical information. Provide support with the preparation of expense reports, contributing to accuracy, compliance with policies, and timely submission. Provide support with maintaining and updating the product portfolio for the GroupaEUR(TM)s capital markets, contributing to enhanced market competitiveness, diversified offerings, and alignment with evolving industry trends. Assist with ad-hoc projects and initiatives relating to the Capital Market department, by conducting research, preparing reports, and facilitating timely completion. Provide support with conducting in-depth research on market trends, competitor activities, and regulatory changes to provide the CCMO with timely and relevant information for strategic decision-making. Key Stakeholder Collaboration Facilitate effective communication at all levels between the CCMO and internal departments and external stakeholders, fostering transparent and seamless information exchange. Act as the liaison between the CCMO and regulatory bodies, such as the Securities and Commodities Authority (SCA), facilitating effective communication and compliance with regulations. Assess information requests from external parties, providing accurate and timely responses in line with the CCMO's directives. Coordinate and manage communication between the CCMO and stakeholders, maintaining that relevant information is conveyed in a timely and effective manner. Contribute to the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement and cost reduction. Risk and Business Continuity Management Conduct all activities in a safe and environmentally responsible manner in compliance with internal policies and guidelines. Minimum Qualifications & Experience: Educational and Professional Qualifications: Bachelor's degree in Business Administration, or a related field. Overall Experience : 4 yearsaEUR(TM) experience in the Securities / Stock Exchange, within similar operations. Seniority level
