As Executive Assistant to Area General Manager, we rely on you to:
Coordinate the activities of the Executive Office in general administrative duties and in matters pertaining to incoming and outgoing correspondences and visitors Assist and support Executive Office with the social media monitoring and correspondence, share it with relevant hotel departments as required Track and record the major follow-ups of the Hotel on behalf of Executive Office Maintain diary, arrange meetings and appointments, and provide reminders and follow-ups of the Executive Office Act as the administrative and communication point of contact between the Executives and Internal/External Clients, Regional/Head Office Officers, and Asset Management/Owners Office Officers Prepare reports, presentations and updates as requested by the Executive Office Administer incoming and outgoing correspondence for the Executive Office and follow-up as required Take minutes of the Executive Office meetings Organize V.I.P reservations and coordinate the particulars including welcome card, letter, and amenities with the concerned departments Coordinate the Executive Office travel and accommodation requirements Administer Executive Office routine claims Act as an Administrative Consultant to colleagues concerning general hotel matters and issues Organize the training schedules of the Executive Office Develop and carry out an efficient documentation and filing system in professional manner Actively work in maintaining the confidentiality, safety and security of the Executive Office at all times
We are looking for someone who: Has a proven analytical mind and an eye for spotting insightful trends in customer feedback Is confident using Microsoft Excel, Medallia or other relatable customer feedback-based platforms, inclusive of understanding and have good practice in NPS methodology Can identify feedback that can be actioned to make positive change Can demonstrate giving constructive feedback and supportive communication to both customers and colleagues Has a passion for providing business support to Senior Management Has proven experience as an Executive Assistant to General Manager or similar Is preferably with UAE experience and holds University Degree Has strong interpersonal, communication and organisation skills Has the ability to multitask and prioritize daily workload Has exemplary planning and time management skills Has superior attention to detail Communicates and writes with fluency in English Is professional, discreet and can handle sensitive information
