Job Description

The Events Production Coordinator is responsible for executing event requirements based on approved designs, ensuring timely ordering, warehouse coordination, material preparation, and production oversight. The role supports the Events Manager by following the finalized 3D design, maintaining strict timelines, and ensuring high-quality event execution.

Duties and Responsibilities

Plan, arrange, set up, and pull out event requirements strictly following the approved designs and instructions from the Events Manager. Study the approved event design to identify all necessary materials, verify warehouse availability, and determine if additional purchases are required while ensuring cost efficiency and maintaining the company's 70% profit target. Prepare Material Request Forms for chairs, tables, artificial flowers, fabrics or wall coverings, flooring, and all other approved items available in the warehouse or to be fabricated. Material requests must be submitted one month before the event, with a minimum of seven days only for exceptional cases approved by the Owner or Managing Director. Coordinate with the Senior Producer after final design approval to prepare detailed action plans and timelines while ensuring compliance with all company rules and regulations. Prepare LPOs for all required purchased items and accessories, ensuring preferred delivery dates are set at least one month before the event. Ensure the itemized event setup list is complete and compliant to prevent last-minute orders or changes. Oversee event production by ensuring all orders are placed within the required timeframe and conducting multiple quality checks during setup to achieve the best possible finishing. Staff must strictly follow the Events Manager's 3D design and provided samples, immediately coordinate with the assigned Events Manager upon receiving their event schedule, follow the strict two-month ordering timeline, and oversee production in the store to ensure timely fabrication and readiness of all event elements.
