The Engineering Coordinator supports the Engineering & Maintenance team by coordinating daily operations, managing work orders, tracking maintenance activities, and ensuring timely communication between technicians, supervisors, vendors, and clients. This role ensures smooth execution of preventive and corrective maintenance activities in accordance with company standards and client requirements.
Key Responsibilities1. Work Order & Maintenance Coordination
Create, assign, and follow up on work orders in CAFM/CMMS systems.
Ensure timely completion of preventive and corrective maintenance tasks.
Track pending jobs and escalate delays to the Engineering Supervisor/Manager.
Maintain accurate records of equipment breakdowns and maintenance history.
2. Technical & Operational Support
Assist the engineering team with daily scheduling and resource allocation.
Coordinate site inspections and ensure compliance with FM standards.
Support engineers with preparing technical reports, snag lists, and asset verification.
3. Communication & Client Support
Act as the communication link between clients, technicians, and management.
Handle service requests, complaints, and follow-up until resolution.
Prepare and share daily/weekly status updates with clients and management.
4. Documentation & Reporting
Maintain and update asset registers, maintenance logs, and compliance records.
Prepare monthly performance reports, KPI dashboards, and incident reports.
Track contractor service visits and maintain service reports.
5. Procurement & Inventory Coordination
Coordinate PRs, POs, and material requests in coordination with procurement.
Track material delivery, stock levels, and ensure availability of spare parts.
Maintain updated records of AMC contracts and vendor contact lists.
6. Compliance & Safety
Ensure that all maintenance works follow safety policies and statutory regulations.
Support documentation for audits, certifications, and compliance requirements.
Assist in maintaining permits, calibration records, and HSE documentation.
Qualifications & Skills Education & Experience
Diploma or Bachelor's degree in Mechanical, Electrical, or Civil Engineering (preferred).
2-4 years of experience in Facilities Management engineering coordination or similar role.
Experience with CAFM/CMMS systems (e.g., Maximo, FSI, Concept Evolution).
Technical Skills
Basic understanding of MEP systems (HVAC, Electrical, Plumbing).
Strong proficiency in MS Office (Excel, Word, PowerPoint).
Knowledge of maintenance planning and FM industry standards.
Soft Skills
Excellent communication and coordination skills.
Strong organization and multitasking ability.
Problem-solving attitude and attention to detail.
Ability to work under pressure and support field teams effectively.
Additional Requirements
Willingness to work flexible hours or shifts if required.
UAE experience and valid UAE driving license (optional depending on role).
