Job Description

We are Looking for someone to join us for an exciting role we have available for a Executive Assistant to the Chief of Legal. We are interested in someone who has a background in supporting a Legal Function in-house or for a private Law firm.

Successful Candidate must be based in the the UAE - Abu Dhabi. If not in Abu Dhabi, must be willing to relocate from another Emirate.

Arabic speaking candidate is preferred but not essential.

Responsibilities Include:
  • Managing diaries: scheduling internal/external meetings and calls (often across different time zones) and resolving diary conflicts.
  • Answering telephones and screening calls for the executive office.
  • Preparing and amending legal documents/letters, track changes, comparing documents as required.
  • Assisting with preparation of internal presentation materials (using PowerPoint, Visio, etc.)
  • Internal filing of documents as required.
  • Group Board administration: collating and distributing monthly Board papers, liaising across the team to ensure papers are updated to meet deadlines, liaising with Board members to organise monthly meetings online, booking rooms and refreshments.
  • Liaising with key stakeholders, internal and external on a variety of requests.
  • Project administration
  • Co-ordinating travel: domestic and international, booking flights directly or via travel company, taxis, accommodation, visa applications, and producing clear and concise itineraries.
  • Team administration: managing expenses, invoices, purchasing card reconciliations and arranging offsite meetings, setting up of new colleagues, assisting with IT queries, organising social events, etc.
  • Main contact point for legal.

Skills / Experience:
  • Experience in an in-house legal function (or private law firm experience)
  • Excellent oral and written communications skil
  • Ability to build and maintain both internal and external relationships.
  • Experience of working under pressure with conflicting priorities.
  • Discreet and able to maintain absolute confidentiality.
  • Conscientious and hard working with a positive attitude.
  • Ability to be flexible and react quickly to changing priorities, including flexible hours as needed.
  • Confident working both independently and as part of a team.
  • Excellent IT skills: Word, Excel, PowerPoint, Outlook, IFS, Microsoft Teams, Visio, mail/email merge applications, SharePoint packages
