Documents Controller

Job Description

Establish and maintain an organized and secure document control system ensuring the accuracy, quality, and integrity of documents.

Facilitate the smooth flow of documents between various departments, ensuring compliance with company policies and government regulations.

Collaborate with project teams to ensure document control processes are implemented and adhered to throughout the life cycle of projects.

Assist in preparing reports and summaries for management, highlighting any issues or discrepancies identified in document control audits.

Liaise with external stakeholders, such as clients, contractors, and suppliers, ensuring timely distribution and receipt of documents.

Support department heads and project managers in creating, reviewing, and editing documents to maintain consistency in style and format.

Provide training to new employees on the document control system, fostering adherence to company policies and best practices.

Monitor retention schedules for documents and facilitate the archiving and disposal of documents in accordance with company policies and legal requirements.

Utilize Document Management Systems (DMS) to track documents, maintain document histories, and ensure the timely approval and distribution of documents.

Proactively identify opportunities for process improvements and work collaboratively with team members to implement effective solutions.
