. The ideal candidate will be responsible for managing, organizing, archiving, and distributing company and project documents while ensuring accuracy, traceability, and compliance with company document control standards.
Key Responsibilities
Collect, classify, archive, update, and maintain all
project-related documents, drawings, and records
.
Implement and monitor
document control procedures
, ensuring compliance with company standards for numbering, version control, and archiving.
Manage all
incoming and outgoing documents
to ensure timely and accurate information flow.
Ensure physical and electronic documents are securely stored and easily retrievable.
Distribute updated documents to relevant departments, preventing use of outdated versions.
Manage
confidential and sensitive documents
while ensuring information security and compliance.
Coordinate document
review, approval, and signature workflows
, ensuring complete traceability.
Support the implementation and maintenance of the company's
ISO quality management system (QMS)
documentation.
Prepare, scan, print, and distribute project correspondence and maintain circulation records.
Conduct periodic inspections to ensure department compliance with document control policies and standards.
Record and archive
meeting minutes, resolutions, and follow-up actions
.
Train staff on document control procedures and promote awareness of document management systems.
Coordinate with project teams, contractors, and suppliers for proper management of
contractual and technical documentation
.
Other Duties and Responsibilities
Support other departments in handling
contract management, technical documentation, and tender records
.
Perform additional document control tasks as assigned by management.
EHS Responsibilities
Attend induction training before commencing work.
Report any
unsafe acts or conditions
immediately.
Be familiar with
evacuation procedures, assembly points,
and emergency plans.
Ensure materials, equipment, and tools are stored safely and properly labeled.
Key Interactions
Coordinate the receipt, review, and distribution of
technical drawings, specifications, and reports
.
Ensure the latest revisions of documents are available to all relevant personnel.
Qualifications & Skills
Diploma or Bachelor's Degree in
Business Administration, Information Management, or a related field
.
Minimum
10 years of experience
as a Document Controller in the
construction or engineering industry
.
Strong understanding of
document control systems, ISO standards, and quality management procedures
.
Proficient in
MS Office, SharePoint, and document management software (e.g., Aconex, EDMS, Primavera, or similar)
.
Excellent organizational and communication skills with strong attention to detail.
Ability to handle confidential information with integrity and discretion.
