Job Description

The primary purpose of the Document Controller is to manage, organize, and maintain all financial and administrative documents, ensuring accuracy, confidentiality, and compliance with internal policies and regulatory requirements. This role supports smooth accounting operations by tracking, filing, and retrieving documents related to invoices, payments, audits, and financial reporting.

Organize, scan, file, and archive accounting documents such as invoices, receipts, payment records, and financial reports.

Maintain up-to-date and accurate document control systems, both physical and digital.

Ensure proper document version control and easy retrieval for audits or internal use.

Coordinate with accountants and auditors to provide requested documents on time.

Ensure all documents are handled in compliance with company policies and confidentiality standards.

Track incoming and outgoing financial documents and update document logs regularly.

Ensure adherence & compliance to policies, procedures, ISO standards, Health & Safety requirements, ethical code of conduct & values.

Accuracy: Maintain precise records with zero document loss or misfiling.

Confidentiality: Ensure secure handling and storage of sensitive financial information.

Compliance: Adhere to Pitstop internal document control procedures and UAE financial regulations.

Timeliness: Provide quick access to requested documents to support smooth audits and reporting.

Efficiency: Maintain a well-organized document system that enhances departmental workflow.

Qualifications/Requirements/Experience



High School Diploma or equivalent; a diploma or degree in Accounting, Business Administration, or a related field is preferred.

Attention to detail and high level of accuracy in handling financial documents.

Proficiency in MS Office (especially Excel and Word) and document management systems.

Basic understanding of accounting principles and financial documentation.

Good communication and time-management skills.

Ability to maintain confidentiality and handle sensitive information responsibly.

Experience (Years of experience, Sector, Local /International)



Years: Minimum 2-3 years of experience in document control, administrative support, or a similar role.

Sector: Experience in accounting, finance, or administrative roles, preferably within the automotive or corporate sector.

UAE experience is preferred; international experience in a similar role is also acceptable.

Job Types: Full-time, Permanent

Pay: Up to AED4,000.00 per month
