The Document Controller is responsible for managing, controlling, and maintaining all project documentation to ensure accuracy, traceability, and compliance with company and client requirements. The role supports smooth project execution by ensuring timely circulation and proper storage of documents.
Key Responsibilities
Manage, organize, and maintain project documents, records, and technical files in both electronic and physical formats, ensuring full traceability and audit readiness.
Implement and enforce document control procedures in alignment with company policies, project requirements, and consultant/client standards.
Receive, review, classify, register, and distribute incoming and outgoing correspondence, drawings, submittals, RFIs, method statements, and material submissions.
Prepare, raise, and maintain WIRs (Work Inspection Requests) and MIRs (Material Inspection Requests), ensuring timely submission, approvals, and closure tracking.
Maintain and update document registers, trackers, and logs (drawings register, submittal log, RFI log, WIR/MIR log, transmittal log) for efficient retrieval and reporting.
Ensure strict version control, correct document numbering/coding, proper stamping (e.g., Approved / Approved with Comments / Revise & Resubmit), and controlled distribution of revisions.
Coordinate closely with project teams, consultants, subcontractors, and clients for document submission workflows, review cycles, approvals, and document closeout requirements.
Compile and maintain Operating & Maintenance (O&M) Manuals, including as-built documentation, warranties, certificates, test reports, and manufacturer data sheets, in compliance with project specifications.
Support project closeout by preparing and submitting handover documentation, ensuring completeness and alignment with consultant/client checklists.
Ensure confidentiality and secure access to sensitive documentation, maintaining controlled permissions and proper archiving practices.
Generate periodic reports on document status, outstanding approvals, and critical deliverables to support project planning and deadlines.
Requirements
Bachelor's Degree / Diploma in Administration, Business, Engineering Support, or a related field.
Minimum 3-5 years of experience as a Document Controller in the construction / fit-out / facade / signage / manufacturing sectors (UAE experience preferred).
Strong working knowledge of DMS/EDMS platforms (e.g., Aconex, Asite, SharePoint or similar) and MS Office Suite.
Solid understanding of construction documentation flows, including drawings, technical submittals, RFIs, WIR/MIR processes, and consultant approval cycles.
Excellent organizational skills, high attention to detail, and ability to manage multiple priorities under tight deadlines.
Strong communication and coordination skills in English (Arabic is a plus).
Qualifications & Experience
Bachelor's degree or diploma (any discipline)
Minimum 2 - 4 years of experience as a Document Controller in construction / interior / fit-out industry in UAE.
