Role Overview
As a Document Controller, you will be responsible for managing, organizing, and maintaining all project-related documentation for construction projects. This includes receiving, tracking, distributing, and archiving project drawings, reports, submittals, RFIs, contracts, and correspondence in a systematic, secure, and timely manner.
The role plays a critical part in supporting smooth project operations, regulatory compliance, and efficient communication across departments and external stakeholders.
Key Responsibilities
Manage and control the flow of documents for all ongoing and upcoming construction projects.
Receive, record, distribute, and archive technical drawings, site reports, inspection requests, and correspondence.
Implement and maintain document control procedures and numbering systems.
Maintain accurate registers for transmittals, incoming/outgoing documents, and submittals.
Coordinate document submissions and approvals between consultants, subcontractors, and the internal team.
Monitor document revisions, ensuring only approved and updated versions are circulated.
Support the project team with timely retrieval of requested documents and reports.
Ensure compliance with company standards, ISO 9001:2015, and local authority documentation requirements.
Assist with authority submissions such as DEWA, DM, DCD, and others.
Provide document control support during internal and external audits.
Train team members on document control protocols when required.
Skills & Competencies Required
Strong organizational skills with high attention to detail and accuracy.
Excellent verbal and written communication skills in English; Arabic is an advantage.
Ability to work under pressure, handle large volumes of documents, and meet deadlines.
Familiarity with UAE construction authority documentation and submission processes.
High degree of integrity, confidentiality, and professionalism.
Software Proficiency
Proficient in
Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
.
Hands-on experience with
Electronic Document Management Systems (EDMS)
such as Aconex, Procore, SharePoint, or similar.
Comfortable with file conversion, scanning, printing, and archiving systems.
Knowledge of AutoCAD, Bluebeam, or BIM360 is a plus.
Qualifications
Diploma or Bachelor's degree in Business Administration, Civil Engineering, or related field.
Minimum
5-7 years of document control experience
in the UAE construction industry, preferably in high-rise or commercial building projects.
Familiarity with ISO 9001 standards and quality documentation procedures.
Certification in document control or EDMS systems (e.g., Aconex Certified) is an advantage.
