Job Description

The Role

This opportunity is with a construction company based in UAE. Responsibilities: Document Management System: o Establish and maintain a robust document control system (DCS) to ensure all documentation is accurate, current, and correctly distributed. o Processing & Registration: Receive, register, and distribute all incoming and outgoing documents and correspondence within the assigned office. o Quality & Compliance: Ensure the timely and accurate filing of all documents and drawings in compliance with ISO procedures and maintain the electronic filing system to be as up-to-date as possible. o Submission Support: Assist the department team in the preparation of submissions, including compiling and organizing necessary drawings and samples. o Reporting & Translation: Support team members in establishing and updating reports and translate documents or correspondence for the Department Manager when required. Skills: o Must be able to maintain a tracking facility to enable documents to be located & updated easily. o Scanning, printing & copying all relevant documents. o Confirming document packs are correct before dispatch. Competencies: o Must be well organized & be able to plan & prioritize their work. o Must be detail oriented & ensure accuracy in all aspects of the work. o Must be competent in issuing & distributing controlled copies of information. o Must be able to maintain a proper document control system. Measurement o Accurate & detailed filing system. o Timely issuance of documents. o Timely provision of accurate reports on documentation. o Positive reports resulting from ISO reviews. o Staff Feedback



Requirements

Experience / Knowledge o 3 to 5 years' relevant experience is preferred. o Knowledge & experience with professional document control software & procedures is essential. Education / Qualifications o Post-Secondary Diploma or professional certificate in administration is preferred. o The job holder is required to complete internal training. Technical Skills o Strong IT, Database skills are required. o Experience with document control packages such as ACONEX/DRPRO is necessary. o Able to utilize MS Office software including spreadsheets & databases is a must.
