The Document Controller is responsible for managing all technical documentation and project records in an organized, secure, and easily retrievable manner. This role ensures that all project documents comply with company standards and client requirements and are distributed and archived accurately and efficiently.
Key Responsibilities:
Document Management:
Receive, register, track, and distribute incoming and outgoing project documents such as drawings, submittals, RFIs, MOMs, NCRs, MARs, MIRs, and inspection requests.
Ensure that all documents are properly filed and archived (both electronic and hard copies).
Maintain document control logs, registers, and tracking sheets.
Document Control System:
Use electronic document management systems (EDMS) like Aconex, Procore, Asite, or internal platforms.
Implement and maintain the document control procedure.
Project Coordination:
Coordinate with consultants, contractors, and suppliers to ensure timely submission and receipt of documents.
Assist in compiling project handover documents (as-built drawings, O&M manuals, warranties, etc.).
Compliance & Quality:
Ensure documentation is in accordance with project procedures, ISO standards, and QA/QC policies.
Assist with internal and external audits related to documentation.
Reporting & Communication:
Prepare weekly and monthly reports related to documentation status.
Communicate with site teams and head office on document-related queries.
Qualifications & Experience:
Diploma or bachelor's degree in business administration, engineering, or a related field.
Minimum 3-5 years of experience in document control within the construction industry.
Familiar with standard document control procedures and project document lifecycle.
Knowledge of document numbering systems, revision control, and ISO 9001 standards.
Skills Required:
Proficiency in MS Office (especially Excel) and document management software (e.g., Aconex, Procore).
Strong organizational and time management skills.
Attention to detail and high level of accuracy.
Good communication and interpersonal skills.
Ability to handle confidential information with discretion.
