We are looking for a Document Controller to join our team here at IIQAF. This role will involve managing and organizing documents related to different departments and projects, as well as keeping the paper trail up to date and ensuring accuracy.
Responsibilities
Arrange, store, and maintain documents according to the company\'s filing system and methods.
Provide support to staff and customers in locating and resolving document problems.
Update document records as appropriate and review for accuracy.
Receive, scrutinize, and store new documents, ensuring all files are in compliance with company standards.
Archive documents to prevent contamination or misplacement of materials.
Secure confidential documents in accordance with internal data protection policies.
Compile and generate reports, spreadsheets, presentations, and various other types of document files as required.
Monitor document control software and databases to make sure documents are up to date.
Assist the team in maintaining quality control processes.
Monitor document deviations and initiate corrective action when required.
Generate weekly, monthly, and quarterly reports.
Respond to customer inquiries with a sense of urgency.
Collaborate with team members and provide training and feedback as necessary.
Remain up-to-date with the company document control policies, procedures, and standards.
Requirements
Proven working experience as a Document Controller.
Detail-oriented with excellent organizational skills.
Analytical and able to problem solve.
Proficient in up-to-date computer programs and applications, such as Word, Excel, and Outlook.
Knowledge of Microsoft SharePoint and/or other document management software highly preferred.
Excellent communication and customer service skills.
Ability to work independently as well as in a team.
