Job Description

Key Responsibilities: Process, circulate, maintain, and Project/Department correspondence, transmittal notes, memos, and other related documents. Monitor all incoming and outgoing documents, emails, and correspondence. Organize and coordinate Project Meetings effectively. Take minutes of meetings, and maintain records for the operations and project/department team. Maintain a proper filing and document control system for archiving, recording, and effective tracking of all documents for the project/department team. Assist all labours and staff members with their requests/inquiries in a timely manner. Act as a point of contact for other Departments/Projects in case of any action required from employees. Generate and consolidate various document control-related reports as required by the Project Manager/Department Head in an accurate and timely manner and in compliance with the Project/Department procedures. Answer and screen all telephone calls, emails, and facsimiles and respond to related inquiries as required. Receive and process Project/Department documents for review and approval of the Project/Department Manager. Liaise with external and internal contacts, suppliers, clients & consultants. Budget & Cost Control Orientation: Control cost in the area of responsibility. Identify and implement systems/methodologies to reduce cost and mitigate any gaps in order to maintain efficient operational excellence. Process Improvement & Management Systems: Continuously look for opportunities for improvement. Identify, analyze and improve existing business processes and procedures to optimize performance, meet best practice standards and enhance workflows involved, improve quality, remove inefficiencies and ultimately improve productivity. Team Management & Development: Lead & manage the team effectively to ensure the most efficient use of human resources thus achieving departmental and organizational goals and objectives. Perform any other duties and responsibilities as designated by the Project Manager/Department Head. 2 years of comprehensive working experience in a similar role in a construction company. Proficiency with MS Office software is a must. Salary and other benefits will be discussed during the interview. Job Type: Full-time Ability to commute/relocate:
