Control all incoming and outgoing project documents including correspondences, material submittals, shop drawings, inspections, RFIs, method statements, site instructions, as-built drawings, and other related documents.
Upload, submit, and manage project documentation on client/vendor platforms as required.
Log, track, and file all project correspondence and documents systematically (both hard and soft copies).
Prepare, type, and distribute official letters, memos, and circulars as instructed by the Project Manager and Resident Engineer.
Ensure all documents are properly received, scanned, recorded, and maintained for easy retrieval.
Manage outgoing correspondence reference numbers, prepare transmittals, and cover letters as per project requirements.
Track, monitor, and follow up on the distribution and status of documents through email and phone communication.
Coordinate with internal departments, clients, main contractors, and subcontractors regarding document submissions, resubmissions, and revisions.
Maintain records of approved drawings by relevant authorities (e.g., Municipality).
Control, prioritize, and oversee the reproduction and distribution of project documents.
Archive and maintain documents in soft copies for future reference.
