We are seeking a highly organized and detail-oriented Document Controller to join our dynamic team in Abu Dhabi, United Arab Emirates. As a key member of our organization, you will be responsible for managing and maintaining our documentation systems, ensuring accuracy, accessibility, and compliance with company standards and local regulations.
Develop and implement efficient document control systems, including naming conventions and filing structures for easy information retrieval
Coordinate with various departments and stakeholders to manage document edits, approvals, and version control
Ensure timely updates and changes to documents, meeting set deadlines and project requirements
Track and maintain accurate records of all documents within the organization
Conduct regular audits of the document management system to ensure compliance with company policies, industry standards, and local regulations
Collaborate with project managers to establish and maintain document control procedures for specific projects
Manage the archiving process for outdated or completed project documentation
Prepare and distribute copies of documents to appropriate personnel, ensuring confidentiality and security of sensitive information
Provide training and guidance to team members on document control procedures and best practices
Generate regular reports on document control activities and system performance for management review
Assist in the implementation and optimization of new document management technologies and software as needed
Qualifications
Bachelor's degree in Business Administration, Information Management, or a related field
Minimum of 5 years of overall experience in document control, with at least 3 years of experience in the UAE
Proficiency in document management systems and databases
Advanced skills in Microsoft Office Suite, particularly Excel and SharePoint
Strong attention to detail and excellent organizational skills
Ability to work efficiently under pressure and meet deadlines
Excellent communication skills, both written and verbal
Experience in conducting system audits and preparing compliance reports
In-depth knowledge of industry-standard document control practices and procedures
Familiarity with local regulations and standards in Abu Dhabi
Ability to work collaboratively in a multicultural team environment
Adaptability to new technologies and software related to document management
Strong problem-solving skills and proactive approach to improving document control processes
