Job Description

Scope and General Purpose of Job:

Responsible for ensuring the smooth, efficient, and timely coordination of all the end-to-end distribution activities across company-serviced locations in the UAE (More than 60 schools in Abu Dhabi, Dubai, Sharjah, Ras Al Khaimah, and the Western Region - Ghayathi, Madinat Zayed, Ruwais). Oversee daily transport operations, dispatching of food items, and coordination of site-level ordering requirements through a team of Transport Supervisors, Dispatch Coordinators, and Operations Coordinators. The role requires strategic planning, operational oversight, real-time problem solving, and performance management to ensure cost-effective and quality-controlled distribution of resources, with compliance to UAE transport and food safety regulations.

Specific Duties and Responsibilities:

Operational Oversight:

Lead and manage the daily execution of transport, dispatch, and school-level ordering across all active sites in the UAE. Supervise and provide direction to Transport Supervisors (staff and food delivery routes), Dispatch Coordinators (dispatch timing, loading, documentation), and Operations/Kitchen Coordinators (daily ordering from schools). Ensure the entire chain (from ordering to dispatch to final site delivery) is executed with zero delay, minimum error, and high responsiveness.
Team Leadership & Performance Management:

Monitor and hold accountable a multi-layered team working across different shifts and functions. Set performance KPIs and conduct regular reviews, including punctuality, fulfilment rates, transport efficiency, and dispatch accuracy. Ensure all teams are properly trained, coordinated, and aligned with daily priorities and SOPs.
Process Control & Escalation Handling:

Serve as the final escalation point for missed orders, delayed dispatches, vehicle issues, or vendor failures, taking immediate action to correct and prevent recurrence. Lead real-time resolution of operational disruptions, especially those affecting early morning deliveries or critical school meal timelines.
Planning & Optimization:

Continuously optimize delivery routes, driver assignments, dispatch sequences, and order flows to reduce overtime, idle time, and unnecessary fuel costs. Analyze peak periods (e.g., school openings, academic transitions) and proactively design contingency plans.
Compliance & Documentation:

Ensure 100% compliance with UAE traffic and food transport regulations, HACCP standards, hygiene protocols, and company SOPs. Oversee daily logs, delivery records, dispatch sheets, route tracking data, and deviation reports.
Vendor Management:

Work closely with transport providers, food suppliers, and logistics partners to enforce SLAs and resolve service issues swiftly. Evaluate vendor performance and recommend continuation, replacement, or escalation when standards are not met.
Cross-Functional Coordination:

Maintain continuous coordination with Production, Procurement, HR/Admin to align on menus, schedules, manpower movement, and equipment readiness. Attend operations meetings and lead briefings with site teams on changes, challenges, and updates.
Reporting & Improvement:

Submit regular reports to the Operations Head including daily dispatch summaries, site coverage, incident logs, fulfilment accuracy, and improvement initiatives. Conduct root cause analysis of service failures or client complaints and implement corrective measures with urgency and accountability.
