Job Description

The Assistant to Cluster Manager plays a critical supporting role in managing and optimizing day-to-day operations across multiple Ayurvedic clinics. This position acts as a communication and coordination bridge between clinic managers, doctors, support staff, and senior leadership to ensure service excellence, regulatory compliance, and customer satisfaction. The role requires operational diligence, analytical reporting, and proactive problem-solving to support the Cluster Manager in achieving strategic and performance goals.

Clinic Coordination & Operational Oversight

Act as an interface between Clinic Managers, doctors, and support staff to ensure smooth clinic operations. Coordinate with clinic supervisors and managers for consistent implementation of daily workflows and SOPs. Monitor and ensure adherence to health, safety, and operational policies across all clinics. Support in enforcing high service quality standards to enhance patient satisfaction and brand value.
Reporting & Data Management

Review and ensure daily sales reports and clinic operation sheets are accurate and updated. Monitor patient appointment data and follow-up actions from both clinics and sales teams. Identify and report sales conversions, missed consultations, and lost opportunities on a daily basis. Prepare and submit consolidated daily updates to the Cluster Manager. Compile and deliver weekly MIS reports covering: Sales, Conversions Staff Utilization Lost Sales & Unconverted Consultations Google Reviews & Customer Complaints

Customer Experience & Feedback



Monitor customer reviews (Google, other platforms) and track service feedback daily. Check that all follow-up/review calls are made from clinics in a timely manner. Conduct

one random feedback call daily

to patients who have completed treatment. Address any incident reports or dissatisfaction cases and escalate appropriately.

Staff Coordination & HR Support



Coordinate with the Cluster Manager to resolve staff grievances, requests, and disciplinary issues. Monitor staff duty hours, off-days, and overtime records. Support monthly preparation of

incentive/commission reports

based on performance. Ensure staff compliance with organizational protocols and grooming standards.

Meeting & Communication Management



Coordinate and schedule

fortnightly meetings

for supervisors/managers and doctors at each clinic. Organize

monthly consolidated doctors' meetings

across all clinics. Actively follow and engage in clinic WhatsApp appointment groups to resolve appointment or scheduling issues.

Marketing & Content Coordination



Work with doctors to gather blogs, articles, and content for marketing use. Share collected materials with the marketing and sales teams to support promotional efforts. Assist in planning and executing

revenue-generating campaigns and activities

.

Facility Maintenance & Vendor Coordination



Identify maintenance needs, source vendors, and collect quotes for services. Coordinate with the accounts team for invoice processing and payment releases. Ensure timely follow-up on maintenance jobs across all clinics.

Licensing & Compliance Support



Support the Cluster Manager in renewal processes for: MOH/DHA licenses for clinics MOH/DHA licenses for staff Trade licenses for each clinic
Job Type: Permanent

Pay: AED4,000.00 - AED5,000.00 per month
