Job overview The role of an Operations Admin involves performing administrative tasks to ensure efficient operation of the office. The ideal candidate will be a strong and reliable support to the Ninjaz operations team allowing us to achieve organizational efficiency and strategic goals set for the company. Main responsibilities
Providing day to day administrative support to Ninjaz managers and employees through a variety of tasks related to organization and communication
Carrying out various administrative duties including, but not limited to, filing, typing, copying, scanning, mailing and others
Handling new license and renewal requests via free zone and other government portals or email communication
Handling new visa applications via free zone and other government portals or email communication
Handling visa renewals, license amendments, visa and license cancellations via free zone and other online portals or email communication
Coordinating required documents with applicants and company managers
Making sure the required documents are in place and proper before submission
Drafting letters such as salary certificates, NOCs, cancellation papers etc. as required by Ninjaz\'s clients
Handling any kind of submissions to any authorities including but not limited Dubai Municipality, Sports Council, FTA, DED, GDRFA, MOHRE, MOFAIC etc.
Assisting in the preparation of reports, drafting proposals, letters
Handling sensitive information in a confidential manner
Assisting with documentation requirements and other submissions
Coordinating appointments and meetings
Help improve workflow by coordinating internal and external resources
Accomplishing related results as needed, by contributing to team efforts
Performing other job-related duties as assigned by Ninjaz Management
Qualifications & Experience
Full English proficiency is a must
Arabic and additional spoken languages are a plus.
Intermediate computer literacy is required e.g., MS Office
Intermediate knowledge of how free zones and other jurisdictions in the UAE operate
Experience of using free zone portals to carry out various tasks is a plus
Excellent customer service skills with the ability to communicate effectively on phone calls and via email
Excellent communication skills, strong organizational and time-management skills
Terrific attention to details and multitasking ability
