We're seeking a Bi-lateral meeting coordinator to join our innovative Bloomberg Live team on a 3-month contract. In this role, you'll work closely with the Head of Audience and other internal and external groups to provide best in class service in facilitating high level meetings at the Qatar Economic Forum.
We'll trust you to:

Serve as the main point of contact between delegations, delegates and speakers, ensuring clear communication and alignment on meeting requests and details
Coordinate all logistical and administrative aspects of bilateral meetings, including scheduling, room assignments and communications to participants
Manage sensitive information with discretion and maintain accurate records of meetings
Anticipate potential issues or scheduling conflicts and proactively provide suggestions to ensure meetings are booked and run smoothly
Facilitate seamless execution on the day of meetings, including managing arrivals, protocol adherence, and coordination with security or hospitality teams
Manage shared and individual email inboxes, prioritizing and responding to communications and requests in a timely and professional manner
Assist in the registration of Forum participants and event reporting to stakeholders
You'll need to have:

3-5 years working in events, marketing, government relations or client management
Experience working with Salesforce, registration or lead generation systems
Proficiency in Microsoft Office applications and Google Products, in particular, strong proficiency in Microsoft Excel and Google Sheets
Proficiency working with technology collaboration tools and ability to pick up new technologies easily
Strong attention to detail and good judgment when handling and processing sensitive information and requests in a timely manner
Ability to work efficiently with internal and external teams
Exceptional written and verbal communication skills
Ability to be a team player and work across time zones with global counterparts
