We are seeking a meticulous and highly organized Art Registrar to join our team. This role is responsible for compiling and maintaining detailed records, digital solutions, and presentations for every piece in our art collection whether stored in our Art Storage facility, located across properties, or on loan. The Registrar ensures the integrity of all documentation and supports safe handling, transportation, and exhibition of artworks.
Key Responsibilities
Maintain accurate and up-to-date records of every artwork received or dispatched from the Art Storage facility and those held at various properties.
Prepare detailed
condition reports
(with photographs) for all incoming and outgoing artworks.
Catalogue all artworks, preparing customized listings and digital catalogs for internal reference or client requests (organized by artist, theme, color, genre, etc.).
Coordinate local and international
transportation and installation
of artworks as per the client's instructions.
Handle
loan processes
with institutions, including documentation, condition reporting, transportation, and site assessments.
Photograph artworks in
high resolution
, edit using photo software, and manage the
Photo Archive
for quick, organized access.
Research intrinsic and extrinsic artwork data, ensuring each entry is fully documented in the collection management system.
Provide consistently updated inventories and reports to the Art Department Manager regarding all works held in storage, properties, or on loan.
Assist the Art Technician in ensuring all artworks are safely handled and correctly stored during transport or relocation.
Maintain and troubleshoot the
inventory database
, ensuring accuracy and ease of access for location and condition tracking.
Prepare weekly updates and periodic reports, including artwork details such as artist, medium, dimensions, acquisition details, and current status.
Conduct annual
physical inventory checks
, reconcile variances, and update records.
Proactively identify and report any storage issues, discrepancies, or condition concerns.
Liaise with external art transport and logistics companies, including documentation, gate passes, and requisition forms.
Perform other duties as assigned by the Direct Manager.
Education & Qualifications
Bachelor's degree
in Museum Studies or a related field required.
Formal
museum or gallery training/experience
is essential.

Minimum
2 years
of experience working with a reputable art collection, gallery, or museum.
Strong proficiency in
Microsoft Access
and other
Collection Management Software
.
Solid understanding of art handling, conservation, and storage best practices.
In-depth knowledge of
contemporary art
Ability to safely photograph and document artworks.
High attention to detail with excellent
organization and efficiency
.
Basic proficiency in
MS Word, Excel, PowerPoint
.
Strong communication skills and the ability to follow direction.
Familiarity with exhibition logistics and spatial planning for artwork installation
Task-oriented with a strong commitment to accuracy and confidentiality.
