JOB DESCRIPTIONDesignation: Archiving TechnicianSection/Department: Health Information ManagementReporting to: HIM Supervisor / Senior Archiving Technician Purpose and Scope of the Job Under the supervision of HIM Supervisor, archiving technician is responsible to scan the documents into iCare on a daily basis. Main Duties and Responsibilities/Performance Standards
Perform scanning of documents into iCare to complete day –to-day assigned work.
Follows the archiving policy guidelines to scan the documents into iCare by verifying patient identification, indexing of the reports, visit information etc
Identify the wrong patient identification, incomplete reports and delayed submitted reports for corrective action.
Ensure all clinical departments documents are received for scanning on a daily basis.
Maintain database of the scanned documents
Follow up with Nursing Department for the delayed / pending reports
Confirm the complete reports / files are taken back by the file section staff.
Identify the reports received for scanning and ensure a new note type is created.
Performs miscellaneous job-related duties as assigned by the Direct Reporting Authority.
Ensure downtime forms are scanned in priority and the correct visits are available in iCare.
Maintains confidentiality of information contained in patient’s file and report against misuse of information contained therein.
Prepare legal files requested by the Medical Administration by assembling, reviewing and indexing the iCare notes.
Coordinate with the file section staff to ensure legal files are submitted on time upon request.
Ensures quality and patient safety practices are followed

Promotes inclusive health by providing equitable and accessible care to patients and families with special needs.
Qualifications, Competences and SkillsEducation: Associate Degree/Diploma related with medical field Experience: One year experience in Medical Records Licensure: Not Applicable Language: Proficiency in English Language Computer Proficiency: Computer literacy – highly skilled to use the scanner. Ability to identify the established and new reports upon receiving.
Ability to cross verify the patient identification, encounter selection
Must have good time management skills to follows the guidelines of scanning documents into iCare
Ability to apply the appropriate document type for the scanned document
Strong organizational skills and ability to work under pressure.
