Roles & Responsibilities:

  • To provide clerical and administrative support in an effective and efficient manner. To operate switchboard and act as a focal point for visitors.
  • Answers all incoming calls and handles callers' inquiries as appropriate.
  • Redirects calls as appropriate, takes and relays adequate telephone and fax messages.
  • Greets, assists, announces, and/or directs visitors.
  • Performs general administrative duties as required (documents binding, copying, scanning, laminating, faxing documents, etc.).
  • Dials out and connects international phone calls as requested while keeping records.
  • Sorts and routes incoming/outgoing mail and courier deliveries and keeps tracking records.
  • Opens and date stamps all general correspondence.
  • Provides administrative support to managers and staff as required.
  • Coordinates the driver's daily tasks and destinations and maintains a record log.
  • Responsible for placing orders for the pantry items and keeping records.
  • Maintains and updates the staff directory on a monthly basis.
  • Manages Ground Floor auditorium and meeting room bookings, setup, and coordination with the pantry/cafeteria for refreshment arrangements.
  • Oversees housekeeping for the main entrance, auditorium, and meeting room.
Educational Qualifications, Experience and Skills:
  • High School Diploma/Certificate or equivalent qualification
  • Minimum of 3 years of experience
  • Strong business ethics, teamwork, adaptability, and professionalism
  • Excellent attention to detail, time management, and confidentiality
  • Proficiency in computer skills and English communication skills
