Position Overview
Oversee and optimize both administrative operations and PRO functions at a boutique, high-quality interior design and turnkey contracting firm, recognized for delivering tailored, award-winning projects across residential, corporate, hospitality, healthcare, and retail sectors.
Key Responsibilities
PRO & Compliance
Act as primary liaison with government authorities (e.g., DED, immigration, labor, free zone bodies) to facilitate
visa processing
,
work permits
, immigration clearances, and trade license renewals.
Ensure all permit approvals (e.g., Dubai Municipality, engineering clearances) are processed accurately and on time to support turnkey project delivery
Coordinate medical testing, Emirates ID issuance, and other statutory formalities for staff.
Maintain compliance with local labor laws and regulations relevant to administration, staffing, and contractor management.
Administrative & Office Management
Manage daily office operations, including phone/email handling, visitor reception, office supply inventory, facility upkeep, and vendor coordination.
Oversee recordkeeping systems for employee files, contracts, license documentation, and compliance paperwork.
Support HR tasks: onboarding, documentation, staff scheduling, and general assistance.
Coordinate with in-house departments (joinery, steel fabrication, MEP) to streamline interdepartmental logistics and documentation flow.
Project & Client Support
Assist in project documentation workflows--from design approvals to commissioning and handover stages.
Facilitate coordination between design/project teams and external stakeholders/vendors.
Track and manage administrative deadlines and approvals tied to project milestones.
Reporting & Process Improvement
Regularly update the CEO and senior leadership on PRO statuses and administrative matters.
Recommend and implement improvements to enhance efficiency, compliance, and operational effectiveness.
Candidate Profile & Skills
Required Competencies
Description
Education
Bachelor's degree in Business Administration, Operations, or related field.
Experience
2-5 years in PRO or administrative roles--preferably in construction, fit-out, or MEP industries in Dubai.
REGULATORY KNOWLEDGE
Proficient in UAE labor laws, licensing, visa procedures, and engineering authority approvals.
TECHNICAL SKILLS
Strong in MS Office (Excel, Word, Outlook), document management, and familiarity with multi-department coordination.
COMMUNICATION
Excellent command of English; Arabic would be a plus. Strong interpersonal and communication abilities.
PERSONAL TRAITS
Highly organized, proactive, detail-oriented, and capable of multitasking in a dynamic, owner-driven environment.
