Role requirements:

Responsibilities:
  • \xef\xbb\xbf\xef\xbb\xbfOrganising and maintaining a database of potential buyers, market appraisals, and prospecting leads in an Excel format
  • \xef\xbb\xbf\xef\xbb\xbfUpdating notes and changing next call dates as required.
  • \xef\xbb\xbf\xef\xbb\xbfPreparing a breakdown of buyer fees based on their offer or asking price.
  • \xef\xbb\xbf\xef\xbb\xbfHandling additional clauses for Form Fs, which may vary from deal to deal.
  • \xef\xbb\xbf\xef\xbb\xbfCompiling DLD transactions into an Excel format, especially for valuation visits.
  • \xef\xbb\xbf\xef\xbb\xbfSharing property finder verified and Bayut TruCheck percentage numbers with the team during weekly meetings, as well as sending weekly KPI reports.
  • \xef\xbb\xbf\xef\xbb\xbfCreating a OneDrive folder for completed deals, including all relevant documents and a front sheet.
  • \xef\xbb\xbf\xef\xbb\xbfDrafting offer letters for sellers.
  • \xef\xbb\xbf\xef\xbb\xbfCoordinating with drivers for document collection and delivery to clients and developers, while assisting with banking cheques on behalf of landlords.
  • \xef\xbb\xbf\xef\xbb\xbfNotifying the accounts department when SPAs are signed and received to ensure commission claims can be processed.
  • \xef\xbb\xbf\xef\xbb\xbfMaintaining a record of team members\' lateness and non-shows.
  • \xef\xbb\xbf\xef\xbb\xbfArranging IT setup for new joiners, including access to Reely, instructions for using the boardroom screen, and finger entry.
  • \xef\xbb\xbf\xef\xbb\xbfScheduling the company driver for client pickups, property tours, and other appointments.
  • \xef\xbb\xbf\xef\xbb\xbfGenerating weekly reports on calls, meetings, sales, and overdue tasks and to prepare for team weekly meetings and one to one
  • Booking meeting rooms for client and team meetings.
  • \xef\xbb\xbf\xef\xbb\xbfAssisting with document editing as needed.
  • \xef\xbb\xbf\xef\xbb\xbfAdditional tasks may be assigned by the associate directors as Required
  • Connecting with developers and completing registrations and scheduling Briefings
  • Answering calls along with making calls and replying to admin emails
Job Types: Full-time, Permanent Pay: AED2,000.00 - AED5,000.00 per month Experience:
  • receptionist administrator: 2 years (Preferred)
