MISSIONS:
  • Preparing & maintaining design and construction records including: correspondence, agreements, design documents, submittals, contract changes, daily reports, proposal requests and payment applications in conjunction with the overall document control system
  • Gathering statistics & general data to prepare reports for both internal & external use
  • Reminding project staff of timesheet submittals and maintaining staff time-off schedule
  • Reviewing time reports to verify accuracy of hours worked and corresponding project charges. Following up to ensure timely processing of corrections
  • Tracking paid-time-off hours charged and maintaining schedule of future hours to be taken
  • Creating & maintaining employee directory and related data pertaining to employees assigned to the project including company resumes
  • Receiving, sorting, and distributing mail. Answering the telephone, taking and relaying messages in a timely manner
  • Coordinating meetings & taking meeting minutes. Verifying their accuracy and distributing amongst project team
  • Preparing presentations
  • Maintaining the project database

PROFILE:
  • Minimum of a Bachelor's degree or equivalent in Business Administration or related field
  • Excellent written and verbal communication skills
  • Excellent knowledge of Microsoft Office (Excel, Outlook, PowerPoint & Word)
  • Good organizational skills with accuracy, attention to detail, and thoroughness
  • Ability to maintain a high level of confidentiality and discern sensitive issues and apply tact.
