Preparing & maintaining design and construction records including: correspondence, agreements, design documents, submittals, contract changes, daily reports, proposal requests and payment applications in conjunction with the overall document control system
Gathering statistics & general data to prepare reports for both internal & external use
Reminding project staff of timesheet submittals and maintaining staff time-off schedule
Reviewing time reports to verify accuracy of hours worked and corresponding project charges. Following up to ensure timely processing of corrections
Tracking paid-time-off hours charged and maintaining schedule of future hours to be taken
Creating & maintaining employee directory and related data pertaining to employees assigned to the project including company resumes
Receiving, sorting, and distributing mail. Answering the telephone, taking and relaying messages in a timely manner
Coordinating meetings & taking meeting minutes. Verifying their accuracy and distributing amongst project team
Preparing presentations
Maintaining the project database
PROFILE:
Minimum of a Bachelor's degree or equivalent in Business Administration or related field
Excellent written and verbal communication skills
Excellent knowledge of Microsoft Office (Excel, Outlook, PowerPoint & Word)
Good organizational skills with accuracy, attention to detail, and thoroughness
Ability to maintain a high level of confidentiality and discern sensitive issues and apply tact.
