Job Summary: The Administrative Officer will play a key role in managing the day-to-day administrative operations of the trading company. This position involves overseeing office activities, supporting various departments, and ensuring smooth communication and coordination. Responsibilities: . Supervise and coordinate administrative staff to ensure efficient office operations. . Manage office supplies, equipment, and facilities. . Maintain organized records, documents, and files related to trading activities. . Handle incoming and outgoing communications, including emails, letters, and phone calls. . Schedule and coordinate meetings, conferences, and appointments. . Prepare meeting agendas and take minutes as needed. . Arrange facilities and logistics for meetings. . Make travel arrangements for company executives and staff. . Coordinate travel itineraries, accommodation, and transportation. . Assist in preparing and monitoring the office budget. . Track and manage expenses, ensuring cost-effectiveness . Liaise with vendors and suppliers for office-related services. . Ensure compliance with health and safety guidelines. . Coordinate emergency response plans. . Address administrative issues raised by employees. . Coordinate employee engagement activities. . Oversee the implementation and maintenance of office technology and systems. . Collaborate with the IT department to address technical issues. Qualifications: . Bachelor's degree in Business Administration, Management, or a related field. . Proven experience in administrative roles, preferably in a trading or financial services environment. . Strong organizational, communication, and interpersonal skills. . Proficient in Microsoft Office Suite and other relevant software. .
