We are looking for a proactive and highly organized Administrative Officer to support our daily operations and ensure a smooth workflow across departments. This role is particularly focused on handling
customer concerns, ensuring timely communication and providing administrative and coordination support to our lab and designer teams.
The ideal candidate is service-oriented, detail-driven, fluent in spoken and written English and a strong communicator who can manage multiple priorities in a fast-paced environment.
Key Responsibilities
:
Administrative & Operational Support:
Oversee and manage daily administrative tasks to ensure seamless office operations.
Maintain accurate records, files, and documentation related to customers, lab work and design projects.
Coordinate internal communications between teams and departments.
Manage office supplies and equipment required by the lab and design teams.
Assist in scheduling meetings, managing calendars and organizing internal events.
Customer Service & Support:
Act as a point of contact for customer inquiries and concerns via email, phone or in person.
Respond to customer issues promptly and professionally, escalating to the appropriate department when necessary.
Track and follow up on customer feedback, complaints, or requests to ensure a timely resolution.
Maintain a log of all customer issues and status updates.
Always communicate clearly and professionally in English.
Lab & Designer Team Coordination:
Provide logistical and administrative support to the lab and design teams.
Track ongoing design and lab projects, ensuring deadlines are met and stakeholders are updated.
Help prepare project briefs, labels, or documentation needed by the creative and technical teams.
Coordinate the transfer of information, samples, or approvals between departments.
Requirements & Qualifications:
Bachelor's degree.
Minimum 3-4 years of experience in an administrative, office coordination and customer support role.
Excellent command of English, both written and spoken is required.
Strong communication and interpersonal skills.
Ability to manage multiple priorities while maintaining attention to detail.
Proficiency in Microsoft Office (Word, Excel, Outlook) and common office tools.
Positive attitude, solution-oriented, and team-focused.
