Job Description

Administration Assistance / Office Manager / Event Manager

  • Co-ordinates meetings and off-site events including hotel bookings, local travel, and transfer arrangements and handling emergency travel situations for both Internal company users and external visitors
  • Assisting Senior Leadership Team (CFO, COO & CEO) during meetings, manage their calendars, minutes of meetings.
  • Ensures that travel is in line with Company policy and provides value for money for the company taking account of different time zones and the work-life balance of participants, travel arrangements (air tickets, hotel, transportation, visa, registrations to events)
  • Maintains and operates filing and other record systems to meet local needs
  • Collates documentation, carrying out defined checks to ensure all items are included correctly
  • Provides information and guidance on processing activities and resolve routine queries and issues to meet customer requirements
  • Generates routine reports within clear guidelines and timetables to meet the ongoing needs of the function

  • Receives and carries out processing of messages and incoming data
  • Follows up on processing activities to ensure the high quality of the service delivered
  • Ensures all procedures and standards are adhered so that processing inputs and outputs meet customer needs
  • Maintains knowledge of regulatory and legal requirements relevant to the role
  • Administration Support & Plan and discuss the calendar with Function Head / Marketing Director. Identify important and regular meetings/requests and follow up
  • Timely auditing & submission of accurate expense reports, invoices & other documents of the team members
  • Consolidation and follow up on various reports from the team
Job Type: Full-time Salary: AED4,000.00 - AED10,000.00 per month Ability to commute/relocate:
  • Dubai: Reliably commute or planning to relocate before starting work (Required)
Education:
  • Bachelor's (Preferred)
Experience:
  • Administrative Executive: 5 years (Preferred)
  • Secretary: 3 years (Preferred)
Language:
  • Fluent English (Required)
  • Arabic (Preferred)
