MHP Food Trading is looking for a highly organized and detail-oriented
Administrative Assistant
to support our office operations and HR functions. The ideal candidate will be responsible for maintaining office procedures, handling administrative tasks, assisting with HR processes, and ensuring smooth day-to-day operations.
Key Responsibilities:
Office Administration:
- Maintain office procedures in compliance with company policies.
- Handle incoming calls and correspondence with professionalism.
- Organize and maintain confidential documents and records.
- Provide general administrative and clerical support to management.
- Assist employees with basic IT requests and office equipment maintenance.
- Manage company-issued mobile numbers, including records, contracts, and renewals.
- Maintain and update employee attendance records.
- Arrange meetings, travel, and hotel bookings for staff and senior management.
- Oversee procurement of office supplies and equipment.
- Prepare and modify reports, memos, and letters as needed.
- Act as a point of contact for administrative processes (e.g., Trade License renewal, Ministry of Labour compliance).
HR Support:
- Assist in onboarding and offboarding employees.
- Process visa applications, renewals, and cancellations.
- Schedule interviews and assist in candidate research.
- Manage employee medical insurance applications/renewals.
- Coordinate annual leave and other employee leave records in HRIS.
- Prepare logistics for new hires (laptops, SIM cards, rental cars, etc.).
