About the Client

Our client provides high-quality serviced offices in JLT and has supported company start-ups, registration, and documents in DMCC, other free zones, and the UAE mainland.

They are looking for a female Arabic-speaking Administrative Assistant to join their team in Dubai and perform general administrative work for operations, finance, and HR. Fluency in the Arabic language is preferred.\xef\xbb\xbf

Responsibilities:
  • Provide administrative support in a manner consistent with the highest level of performance and professionalism
  • Maintain and update calendars in a fast-paced environment with many competing priorities including fielding all incoming scheduling requests, prioritizing the most urgent and sensitive matters and meetings, communicating with all parties, and ensuring that meetings are set up for success
  • Organize meetings including scheduling, coordinating with remote participants, material preparation, recording meetings, providing post-meeting materials and distribution to attendees
  • Meet frequently with leaders and the team for proactive support including preparations.
  • Coordinate travel arrangements and provide organized resources (itineraries, agendas, meeting materials, etc.) for upcoming leader travel and meetings
  • Use various software including Word, Excel, PowerPoint, and Visio to prepare presentations, reports, agendas, and other, communications
  • Work effectively as an integral member of a team of administrative professionals
  • Tracking Finances
  • Staff Supervision and Scheduling
  • Human resource functions such as tracking and completing visa applications and status
Qualifications:
  • 3 years experience in a similar role
  • Ability to maintain the integrity of sensitive/confidential information
  • Advanced experience in Outlook for complex calendar management, and scheduling meetings, as well as PowerPoint, Word, and Excel software
  • Experience working in a fast-paced, matrix organization
  • Experience managing multiple priorities with ever-changing business needs while effectively prioritizing to meet deadlines and maintain a high quality of work
  • Exceptional attention to detail
