Administrative Assistant

Job Description

Assist in scheduling and deploying manpower as per client requirements. Maintain and update manpower allocation records (site-wise, project-wise). Track staff attendance, overtime, and shift schedules. Coordinate with site supervisors for staff movement, replacements, and urgent requirements. Ensure proper documentation (gate passes, site permits, client approvals) is prepared and submitted on time. Collect and maintain staff records (passports, visas, Emirates ID, medical reports). Support in processing new joiners' documentation, orientation, and deployment. Maintain leave, exit, and transfer records for manpower. Prepare monthly manpower utilization and client billing support data. Communicate with clients regarding attendance, and replacements. Draft official correspondence, reports, and operational updates for senior management. Handle client queries related to manpower deployment and resolve basic issues. Maintain files, records, and reports for easy retrieval and audit. Monitor expiry dates of visas, contracts, medicals, and coordinate renewals. Support procurement of uniforms, PPE, and other supplies required for manpower.

Qualifications & Skills:



Bachelor's degree or diploma . 1 years of experience in administration , Freshers are also preferred Proficient in MS Office (Excel, Word, Outlook). Good written and verbal communication skills (English essential ) Ability to multitask and work under pressure.
