We are seeking a highly organized and detail-oriented Administrative Assistant to support our team with daily administrative tasks. The ideal candidate will be responsible for providing high-level clerical support, managing schedules, handling communications, and ensuring smooth day-to-day operations of the office.
Key Responsibilities:
Answer and direct phone calls, emails, and other correspondence
Schedule appointments, meetings, and maintain calendars
Prepare and edit documents, reports, and presentations
Organize and maintain physical and digital filing systems
Order office supplies and manage inventory
Assist in the preparation of regularly scheduled reports
Coordinate office events and travel arrangements
Greet visitors and provide general support to guests
Handle confidential information with discretion
Support other departments as needed
Qualifications:
High school diploma or equivalent; Associate's or Bachelor's degree preferred
Proven experience as an administrative assistant or in a similar role
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
Strong written and verbal communication skills
Excellent time management skills and the ability to prioritize tasks
Attention to detail and problem-solving skills
Ability to work independently and collaboratively
Preferred Skills:
Experience with office management systems or software (e.g., Google Workspace, project management tools)
Familiarity with basic accounting or invoicing practices
Customer service experience
